Buying for a department
Easy to buy the way departments buy
Try it first, get a formal quote for the board, pay by card or purchase order. Here's everything your treasurer or district clerk will ask.
1. Try it free for 30 days
Start a trial on your own radio traffic: every feature of the plan you pick, no card needed. If you decide to keep it, the paid period starts when the trial ends, so nothing is charged twice.
2. Get a formal quote
Use the estimate on the Plans page and send it as a quote request, or ask us directly. You get a numbered, printable quote with the plan, stations and add-ons, valid for 30 days, that your board can approve and you can accept online.
3. Pay the way you need to
| Option | How it works |
|---|---|
| Card, online | Subscribe in the customer portal; renews each year automatically. |
| Invoice / purchase order | Send us the PO number and billing contact. We email an invoice (net 30, or the terms you need), payable by check or ACH. Renewal invoices come before the year ends. |
| Tax-exempt agencies | Send your exemption certificate and we set the account as tax-exempt. |
| Vendor paperwork | Need a W-9 or a vendor registration form? Ask us. |
4. Fitting it into the budget
- One yearly line item per station, including updates and support: no servers, no per-user fees, no hardware to buy if you have a Windows PC that hears the radio.
- Where it usually comes from: the technology or equipment budget, the training budget (it builds after-action reviews and drills from real calls), or a records and reporting budget.
- Grants: some fire service grant programs fund equipment and technology that support operations, training or records. Programs, eligible costs and deadlines change every year, so check the current notice of funding opportunity before you apply. We're glad to provide a quote, product description and letter for your application.
- County or several departments: a county-wide setup with shared incident summaries is available; ask us about volume pricing.
5. After you buy
- Your license key and the installer arrive by email, with setup steps.
- The customer portal has your licenses, computers, invoices, downloads and support.
- Questions during setup? The docs walk through it, and support is one click away in FiregroundScribe Manager.
